Privacy notice

PlaceHosts is a division of Letto Property Group Pty Ltd (ACN 663 505 566), trading as Letto Property Group and PlaceHosts ("we", "us"). We respect your privacy and handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

This notice explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it. It applies to property owners, guests, tenants, applicants and anyone who contacts us through this website.

What we collect

• Property owners: name, contact details, property address and details, bank account details for paying rent and income, ownership and identity documents where required, and the details needed to prepare your statements and reports.
• Guests and tenants: name, contact details, booking and stay details, identity verification where required, payment information (handled by our payment and booking providers), rental applications and tenancy records.
• Website visitors and enquiries: the details you give us in forms, emails, phone calls and messages, and basic technical information such as browser type and pages visited.

Why we collect it

• To manage your property, bookings and tenancies, and to pay owners and process payments.
• To prepare owner statements, performance reports and inspection reports.
• To meet our legal obligations, including real estate licensing, trust accounting, tax and tenancy laws.
• To answer enquiries, provide rental appraisals and improve our services.
• To keep properties and guests safe, including security and noise monitoring.
• To send you information about our services, if you have agreed. You can opt out at any time.

Noise and occupancy monitoring

Some properties use smart sensors that measure sound levels, occupancy, smoke and temperature. These sensors have no cameras and do not record audio or conversations. Guests are told about any monitoring devices before they stay.

Cookies and website analytics

This website uses Google Analytics and HubSpot to understand how visitors find and use the site, such as which pages are viewed, how long people stay and whether an enquiry form was submitted. These tools use cookies and similar technology, and the data is stored on Google's and HubSpot's servers, which may be outside Australia. HubSpot also powers our live chat and records the details you enter into our forms so we can respond to you. We don't use this information to identify you personally unless you give us your details in a form, chat or email. You can block or delete cookies in your browser settings, or opt out of Google Analytics at tools.google.com/dlpage/gaoptout.

Who we share it with

We only share personal information as needed to provide our services, or where the law requires it. This may include:

• booking platforms such as Airbnb, Booking.com and VRBO, and our booking, pricing and guest-messaging software;
• cleaners, maintenance contractors, security providers and other service providers working at your property;
• our trust accounting, accounting and payment providers;
• insurers and damage-protection providers, where a claim is made;
• government bodies and regulators such as the Residential Tenancies Authority, NSW Fair Trading, the Office of Fair Trading and the ATO, where required.

Overseas disclosure

Some of our team members, including our virtual assistant team in the Philippines, help manage bookings and guest communication. Some of our software providers store data on servers outside Australia, including in the United States and Europe. We take reasonable steps to make sure these parties protect your information in line with Australian privacy law.

Using property details in our marketing

We only use owner names, property photos, listing details, guest reviews of your property or performance figures in our marketing with your consent. Owners give or withhold this consent separately, using our owner consent form, and can change their choices at any time.

How we keep it secure

We store information in secure, access-controlled systems, limit access to people who need it, and destroy or de-identify information we no longer need, subject to the records we must keep by law.

Accessing or correcting your information

You can ask to see or correct the personal information we hold about you by emailing support@placehosts.com.au. We'll respond within 30 days.
